The Oxford Assistant Property Manager reports to the Property Manager and will support the efforts of the Property Management team, with a strong focus on maintaining the integrity of the physical asset and maximizing returns.
Maintaining the Physical Asset
- Directs on-site cleaning personnel at properties assigned.
- Directs on-site security personnel at properties assigned.
- Directs contractors as required.
- Maintains good working relationships with on-site maintenance staff.
- Maintains relationships with suppliers, vendors, and contractors.
- Maintains a good working relationship with tenants.
- Assures adherence to specifications including but not limited to lease agreements, contractual specifications, and operational specifications.
- Conducts routine formal site inspections of building interior and exterior.
- Handles after-hours emergency issues at properties
- Ensures observance of safety regulations.
- Assigns and follows up on the timely completion of work orders and preventative maintenance.
Financial and Reporting
- Assists in the preparation of annual budgets.
- Assists in the preparation of monthly variance reports.
- Assists in the preparation of weekly operations reports.
- Prepares Incident Reports as required for each property.
- Completes Commercial Billing reports for assigned properties.
- Codes and inputs invoices into Yardi.
- Prepares monthly Variance reports.
- Prepares Account Receivables adjustments as required for utilities and other services billed back to the tenants.
- Assists in the preparation the annual reconciliation of real estate taxes, insurance, CAM, and escalation.
- Prepares and approves time cards/time sheets and send them to payroll for processing.
